Overview
Use an Ad-hoc deductions upload when you need to process a one-time pretax deduction for an employee. Uploading this file through the Admin Dashboard helps ensure accurate payroll processing, clean data, and correct benefit balances.
Step-by-Step File Upload Process
Log in to your Admin Dashboard.
Navigate to Uploads in the left-hand menu.
Click Upload file.
Select Ad-hoc deductions as the upload type.
Follow the on-screen prompts.
Click Import to complete the upload.
Please make sure your file includes all the "Required Columns" listed on the left-hand side of the uploader, as shown below:
Prepare Your File
Before uploading, make sure your file is complete and properly formatted.
Download the Template
Download the Ad-hoc deduction file template attached to this article.
The template includes all required columns.
Required Columns
Your file must include all columns listed under Required Columns in the uploader.
Missing required columns will prevent a successful upload.
Column Mapping
After selecting your file, the uploader will display a preview of your data.
If your column names exactly match the required column names, they will map automatically.
If column names differ, you’ll be prompted to map them manually using the dropdown menus.
All fields marked with a red asterisk (*) must be mapped before you can proceed.
Data Validation and Corrections
The uploader automatically checks for missing or incorrectly formatted data.
If issues are found, you’ll be prompted to correct them before continuing.
You must resolve all errors to complete the upload.
Late deductions
You can upload deductions for a past pay date, but additional steps are required.
The uploader will display a warning for late deductions.
Late deductions are not processed automatically out of safety to ensure employees do not receive accidental duplicate contributions.
Please notify the Benepass Admin Support team at [email protected] after uploading a late deduction so it can be reviewed and processed safely.
Once submitted, our engineering team will process the update(s) within two weeks.
