Overview
The "Uploads" page of your Admin dashboard allows you to share data with Benepass in a secure and safe way. The following upload types are supported:
- Full roster*
- Pre-tax elections*
- Pre-tax deductions*
- Ad-hoc deductions
- Balance transfers
- Ad-hoc contributions
- Contribution corrections
*These options are only visible during onboarding for completing a one-time bulk upload of employee data or while temporarily uploading data in advance of establishing connection with your Payroll or HRIS system.
Data quality
Please note that your team is responsible for ensuring that the employee data you input is correct. Any data reviewed by Benepass is for format and not for content.
Benepass is not able to provide accounts to individuals aged 17 and younger.
Step-by-Step File Upload Process
1. Log in to your Admin Dashboard and navigate to "Uploads" in the lefthand menu
2. Click on the "Upload file" button
3. Select the type of file you would like to upload
4. Follow the prompts to complete the upload process
5. Click "Import" at the end of the prompts to complete your file upload
Please make sure your file includes all the "Required Columns" listed on the lefthand side of the uploader as shown below:
Formatting your data
The file uploader helps your team ensure that your data set is fully populated and correctly formatted. It does this by:
Column mapping
Once you have selected your file, the uploader will display a preview of the data.
If the columns in your file exactly match the names under the "Required column", the system will match them automatically.
If the column names differ, you will be prompted by the uploader to match them manually.
Select the appropriate match from the dropdown for each column. Please note that all fields with a red asterisk next to them must be mapped to a column in your file.
Completing data corrections
If your data set contains formatting issues or is missing some data, the uploader will identify them and prompt you to adjust them so they are correct.
Late deductions
Please notify the Benepass team if you have uploaded late deductions.
The uploader will allow you to upload deductions for a pay date in the past but will display a warning and prompt your team to contact admin support.
Late deductions are not run automatically out of safety to ensure employees do not receive accidental duplicate contributions.
