There are a couple of situations where a transaction or expense may be pending by the end of the year or fully processed after the expiration of their funds.
Pending Transactions
When an employee swipes their card with a merchant or makes a purchase online, an authorization hold is placed immediately on their available funds. This ensures that the employee has enough funds to support the purchase. Once an authorization is placed, the merchant must complete the purchase by settling a final transaction and releasing the authorization hold.
Depending on the merchant, a card authorization may be pending for a few minutes or up to several days. Benepass is not able to alter this status as it is determined entirely by the merchant and card processor.
Pending Reimbursements
It’s common for employees to submit reimbursements in the final days before their balances expire. As a result, some reimbursements may still be under review after a scheduled expiration has passed.
Reimbursements submitted in the last days of the year will likely be pending review after the new year. Benepass will review all reimbursements within 5 business days of submission, which means you can expect the majority of these reimbursements to be reviewed within the first week of the new year.
There may be some cases where we will need additional information from an employee before we can approve their reimbursements, such as an updated receipt or a letter of medical necessity for FSA benefits. We do our best to process reimbursement updates with employees as quickly as possible but ultimately rely on the responsiveness of employees.
